Wedding Vendor Communication Checklist for Indian Families

Most wedding morning stress comes from one thing being asked at the wrong time. A clear communication plan with every vendor, written down in one place, keeps the family calm and the vendors confident.

Florist

Confirm the delivery window, not just the day. Bridal bouquet, poola jada, entry flowers, mandap or altar pieces and any family corsages should each have a separate line in the brief with a photograph reference and the exact address and point of contact. Share the bride's saree photograph in natural light so the palette can be matched. Ask for a night before confirmation with the weather forecast and any market substitutions. The monsoon wedding flower care guide at journal monsoon wedding flower care bengaluru kerala is essential reading for June to September weddings.

Decorator

Give the decorator a single floor plan with the mandap or stage marked, the guest entry path, the photograph corner and the dining area. Mark power points, restrictions on nails or tape at the venue, and any items the family is providing themselves, such as brass lamps or family textiles. One written brief prevents the decorator from guessing on the morning.

Makeup artist

Share the ceremony schedule, the saree and blouse photographs, and any jewellery photographs at least a week in advance. Confirm the arrival time for the bride and for any family members who will also have makeup. Ask whether the artist needs a chair near a window, a clean mirror and a power point. Clarify who pays for the assistant and travel if the venue is outside the city.

Caterer

Confirm the guest count with a buffer, the menu in writing, the serving style, the number of service staff, and the time the first batch of food should be ready. For sadhya or traditional meals, confirm banana leaf supply, the serving order and any dietary restrictions. Ask for the head caterer's direct phone number and assign one family member as the single point of contact for the day.

Photographer

Share the full itinerary, the family group list and any must have shots. Name one family member who knows faces and relationships to help the photographer gather groups. Confirm whether the photographer will need meals, parking and a place to leave bags. For religious ceremonies, ask about flash restrictions in advance.

Venue and transport

Confirm the exact access time, the number of changing rooms, the air conditioning schedule, parking for elders and the load in path for vendors. For transport, give drivers a written itinerary with addresses, contact names and a map pin for each location. Ask drivers to arrive thirty minutes before the first pickup, not at the pickup time.

WhatsApp groups

Create one vendor group with the family point of contact and all key vendors, and one internal family group for updates. Keep vendor messages short and factual. Ceremony name, start time, venue and dress code in four lines. Avoid long good luck messages and photograph attachments in the vendor group, since they bury the information people need.

Final week confirmations

Seven days before, send each vendor a one page confirmation with the date, time, address, contact person and any last changes. Three days before, confirm the headcount and the weather plan. The night before, send a short message with the next day's first call time. The wedding itinerary cards guide at journal wedding itinerary cards guest notes indian families has the guest facing version of this same information.

Elder friendly clarity

Make sure at least one elder in the family has a printed copy of the itinerary and the vendor contact list. Phone numbers should be written in large type. Avoid relying on WhatsApp alone, since many elders do not check messages quickly. A calm elder is the sign that the communication plan is working.
