Onam Corporate Gift Order Checklist for Bengaluru Teams

Onam corporate gifting goes wrong for boring reasons: a headcount taken too late, an address list nobody cleaned, and a courier booked in the week everyone else booked one. This is the order in which to do it.

Lock the headcount before you look at hampers

Get a final list from HR with full names, delivery addresses, pincodes and phone numbers, and add ten percent for late joiners, contractors, the office help, the security team and the two people somebody will remember on the last day. Decide early whether interns, consultants and the facilities staff are included, because adding them at the end is the most common source of hurt feelings. If teams are spread across cities, split the list by city at this stage rather than later, since each city has a different courier lead time.

Ask about diet and household, not just preference

Onam gifting almost always includes food, so ask two questions in the same form: any dietary restriction, and whether the hamper goes to a household with small children or elders. That single line changes what belongs inside. Jaggery based sweets and banana chips suit almost everyone. Pure vegetarian is the safe default across a mixed Indian team. Flag nut allergies, diabetic households and Jain colleagues, and have one alternate hamper ready rather than trying to make one hamper serve everybody.

Decide your bands, and keep them few

Most companies end up with two or three bands: a team hamper, a senior or long service hamper, and a client hamper. More bands than that becomes visible inside an office within a day, and the visibility is what causes the problem, not the difference. Set the amount per band before you shortlist, tell the vendor the number plainly, and ask what the best hamper inside that number looks like. It is a much better conversation than asking for a quote on a wish list.

Write the note before you write the purchase order

A hamper with a printed generic greeting is a delivery. A hamper with two honest sentences addressed to the person is a gift. Write the note first, because it will tell you what the hamper should be. Keep it short, name the festival, thank the person for something specific to the year, and sign it from a human being rather than from the company. Delivery windows that actually work

Onam gifts should land in the four days before Thiruvonam, not on the day itself, because on Thiruvonam morning most Malayali households are at the temple, cooking a sadhya, or travelling to family. Aim for Uthradam, the day before, as your ideal arrival and treat the two days before that as your window. For anything perishable, plan the arrival for the day before at the latest. For outstation and Kerala addresses, add three to four working days over Bengaluru, and remember that Kerala courier networks slow considerably in Onam week itself.

Office and apartment logistics

Bulk delivery to one office is far simpler and cheaper than individual home delivery, but only if people are actually in the office that week, which in Bengaluru is often not the case in a hybrid team. Decide honestly. For home delivery, apartment gates are the real obstacle: many complexes will not allow a delivery agent up, and hampers left at a gate in August rain do not survive. Collect the flat number as a separate field, tell recipients the delivery date in advance on the team channel, and ask the vendor to call before arriving. For office delivery, name one person at reception who will receive and sign for the lot.

Branding, restraint and what feels premium

The fastest way to make a gift feel like inventory is to print the logo large on everything. Keep the branding to one small mark on the outer box or a discreet card, and keep the inside of the hamper clean. What reads premium is not more items, it is fewer good ones, properly packed: real Kerala banana chips rather than a generic packet, sharkara varatti, a small jar of good jaggery or honey, a hand tied bundle rather than shredded plastic filler, and a folded note in a proper envelope. Six thoughtful things beat fourteen ordinary ones every time, and they generate less waste in the recipient's kitchen.

Invoices, GST and staggered shipping

Ask for a single consolidated invoice with your company GST details on it before dispatch rather than after, and confirm whether delivery is billed separately per address. If your list crosses a hundred, ask for staggered shipping in batches by city with a tracking sheet, so a single courier failure does not take down the whole programme. Keep one contact person on the vendor side and one on yours, and settle both before the week begins, because in Onam week nobody has time to find the right person.

The last date to order

For a Bengaluru only list, place the order three weeks before Thiruvonam. For a list spread across India, place it four weeks ahead. For Kerala addresses in Onam week, five. Anything ordered inside two weeks will be built from what is available rather than what you chose, and will travel in the busiest courier window of the Kerala year.
