South Indian Wedding Guest Transport Checklist

Transport is the part of a wedding guests remember only when it goes wrong. It is also one of the few things you can fully solve on paper a week ahead.

Start by counting who actually needs a ride

Split the guest list into four groups: local guests with their own vehicles, local guests without, outstation guests staying at hotels you booked, and outstation guests staying with relatives. Only the last three groups need planning. Most families over provide, because they count heads instead of counting households. Twelve relatives from one street usually need two cars, not twelve seats. Call the households rather than the individuals and the number typically falls by a third, which is where most of the transport budget is saved.

Match vehicles to the group, not the total

A tempo traveller of twelve to fifteen seats suits a hotel to venue shuttle. Sedans suit elderly guests, the couple's immediate family, and anyone in heavy silk who cannot climb a high step. Buses only make sense above forty guests moving from one point at one time. Two mid sized vehicles running twice usually beat one large one running once, because guests never assemble together. For a muhurtham that starts before dawn, small vehicles that can leave as soon as they fill will get more people there on time than a bus waiting for stragglers.

Elderly guests need a different plan

The oldest guests should be picked up individually or in pairs, dropped at the nearest gate, and collected from the same point. Reserve seats near the ceremony for them, tell the driver where to wait, and give one family member the driver's number rather than making the elder call. If the venue has a long walk from parking, arrange a drop right at the entrance and clear it with the venue in advance. Airport and railway station runs

Collect flight and train details two weeks ahead, not two days. Build a simple list of arrival time, terminal or platform, number of people, number of bags, and destination. Bengaluru airport is an hour and a half from most of the city and longer in the morning, so a guest landing at nine will not be at a ten thirty function. Where that is the case, tell the guest honestly and let them decide. Send each guest the driver's name, number and vehicle number the night before, and ask the driver to send a message on arrival rather than calling a tired traveller.

Timing around the muhurtham

Work backwards from the ceremony. Guests seated fifteen minutes before, which means arriving thirty minutes before, which means leaving the hotel forty five to sixty minutes before that in city traffic. For a six in the morning muhurtham, that is a four thirty departure and a wake up call the hotel needs to be told about. Print the departure time on the invitation card slip for outstation guests, not the ceremony time, or half the party will time their morning to the wrong number.

One coordinator, one number

Give every driver a single family contact and give guests the same number. Nobody in the ceremony should be answering transport calls. The coordinator holds the vehicle list, the driver numbers, the pickup slots and the hotel front desk contact, and they stand at the venue gate for the first hour. A cousin who is not in the wedding party is the right person. This is one line on the vendor call sheet and it saves more distress than any other line on it.

Parking, and the gate

Ask the venue how many cars fit, whether there is overflow parking, and whether the road outside allows standing. Arrange two people at the gate to direct vehicles for the first ninety minutes, because that is when everything jams. Keep a lane clear for the couple's car and for late deliveries of flowers or food. If the venue is on a narrow street, plan a drop point a short walk away and a shuttle for the elderly rather than letting forty cars discover the problem themselves.

Multi day weddings and second locations

If the engagement is at home, the wedding at a hall, and the reception elsewhere, each move needs its own plan and its own vehicles. Guests will not remember which car brought them. Assign vehicles to hotels rather than to guests, run fixed departures, and post the times in the hotel lobby and on the family group. Reception evenings need a return plan too; the last vehicle should leave forty five minutes after the last guest is expected to eat.

Payments and paperwork

Agree the rate structure in writing: per vehicle per day, kilometre limit, waiting charges, night charges, and toll and parking. Note who pays and when. Keep driver details in one place with vehicle numbers. Confirm the whole booking again three days before the wedding, because operators reassign vehicles freely and a confirmation from six weeks ago means very little on the morning.

A short checklist

Count households, not heads. Match vehicle type to group. Plan the elderly separately. Collect flight and train details two weeks ahead. Work departure times back from the muhurtham. Name one coordinator. Confirm parking and gate management with the venue. Plan each day and each location separately. Agree rates and reconfirm three days ahead. Send every guest their driver's details the night before.
